You got your first online order: what to do next

Once your first order lands, check it, pack it carefully, book a courier, send the customer a tracking number and follow up after delivery. Doing those steps in order takes under an hour for a single parcel and sets the habits you will use for the next thousand. This guide walks through each one.

First, enjoy it, then check the order

Take a screenshot if you like. Then look at the order properly. Confirm the payment has actually cleared, because some methods such as bank transfer show an order before the money arrives. Read the delivery address carefully and look for anything odd, like a missing flat number or a phone number with too few digits.

If anything is unclear, write to the customer now rather than guessing. A short message asking to confirm an address costs you two minutes and can save a lost parcel.

Confirm the order with the customer

Most platforms send an automatic confirmation email. Open it yourself to check it looks right, includes the items, the total and your contact details, and does not contain a placeholder you forgot to replace.

It is worth adding a personal line, especially for a first customer. Something short and genuine, like thanking them and saying when you expect to ship, makes a small store feel like a person and not a template.

Pack it so it arrives in good shape

Choose a box or mailer that fits the product without too much empty space. Wrap anything fragile, fill gaps so the item cannot slide and use a strong tape across all seams. Shake the box gently. If you hear movement, add more padding.

Add an invoice or packing slip with your contact details, and a thank-you note if you wish. Keep a copy of what you packed, and consider taking a quick photo of the sealed parcel. If a customer later says it arrived damaged, that photo helps when you speak to the courier.

Choose a courier and book the collection

Weigh the packed parcel and measure its length, width and height. Many couriers charge by the larger of actual weight and volumetric weight, so a light but bulky box can cost more than you expect. Get quotes from at least two carriers, ideally including a local pick-up point option if one is nearby, and compare price, speed and tracking quality.

Book a collection from your home or drop the parcel at a depot. Keep the receipt and write down the tracking number straight away. If you promised a delivery date, check the courier's stated transit time against it before you commit.

Send the tracking number

Customers start wondering where their order is almost as soon as they pay. Send the tracking number the moment you have it, along with the courier's name and a link. Most store platforms have a field for this that triggers a shipping email.

This is the point where small stores can slip into a lot of manual work. If you only ship a few orders a week, copying a number into an email is fine. As volume builds, it helps to automate it. TrackIt For Business connects to WooCommerce so completed orders become tracked shipments automatically, and you can add other shipments by hand, via CSV or through the API. The customer then gets automatic updates and a self-serve tracking page, plus the option of a branded Apple Wallet or Google Wallet pass that updates as the courier scans the parcel. It follows 3,000+ carriers, so you do not need to change who delivers for you. The plan is $14.99 a month plus R1.50 per package when its Wallet passes are first generated, and it is optional. Many people start by sending tracking numbers manually.

  1. Copy the tracking number from the courier's receipt or label.
  2. Add it to the order in your store so the shipping email goes out.
  3. Check that the link opens the right parcel.

Watch the parcel until it is delivered

Do not assume that no news is good news. Check the tracking a day or two after dispatch. If the status has not changed in several days, contact the courier early rather than waiting for the customer to complain. Parcels are easier to find in the first few days than after three weeks.

If you are tracking more than a handful of parcels, a dashboard that flags stuck or late shipments saves you from checking each one by hand.

Follow up after delivery

A few days after the parcel arrives, send a short message asking whether everything is as expected. This catches problems before they turn into bad reviews and shows the customer you care what happens after the sale.

If they are happy, ask for an honest review and, if you have a social account, whether they would be comfortable sharing a photo. Do not push or offer money for positive reviews, as many platforms prohibit it.

Record what happened and improve

Write down the cost of the item, packaging, postage and fees for this order, plus how long each step took. Your first order is a useful test of whether your price covers everything. If the numbers are tight, adjust the price or the shipping charge before you have fifty orders on the books.

Keep a simple checklist of the steps you just followed. It becomes your standard process, and it is the first thing you can hand to a helper later.

Common questions

How soon should I ship the first order?

As soon as you reasonably can, and within the time you stated on your store. One to two working days is a common standard for small stores. If you will be later, tell the customer.

Do I have to send a tracking number?

You are not always legally required to, but customers expect one and it prevents most 'where is my order?' messages. Choose a courier that provides tracking.

What if the parcel gets lost or damaged?

Contact the courier with the tracking number and any packing photos, then tell the customer what you are doing. Decide in advance whether you will resend or refund, and consider insurance for higher-value items.

Can TrackIt For Business track parcels from the couriers I already use?

Yes. It follows parcels across more than 3,000 carriers, and you keep your existing couriers. It is not a courier or a logistics platform.

Do I need tracking software for my first few orders?

No. You can send tracking numbers by hand at first. Software becomes helpful once you are handling enough orders that copying numbers and answering status questions takes real time.
